Position Title: Foreman

Regular Full Time    Non-Exempt   40  Hours per week   

Department: Cemetery

II. Primary Functions of This Position

The Foreman in addition to performing the duties of a General Laborer, is also responsible for coordinating the work of General Laborers who maintain a location’s cemetery grounds and facilities, providing coaching and feedback for continuous improvement of the services provided. 

The Foreman will demonstrate by example, Archdiocese Cemeteries values in all their dealings with families, staff, and internal/external contacts. 

Reporting to the Location Manager, the Foreman interacts with the Location Manager (LM) General Laborers, Family Service Directors, Family Service Advisors, Family Service Coordinators and other location personnel and departments. 

Major Position Responsibilities                                                                                       

1. Assign work and provide feedback and coaching to General Laborers.                                                                                                            

a. Ensure the highest standards for Archdiocese and the “Family First experience” through coaching, training, and professional development for the General Laborers. 

b. Address priorities, allocate resources, and assign tasks to staff as needed. 

c. Reinforce operational policies, procedures, and safe work practices. 

d. Conduct meetings with management to discuss operational issues and solutions. 

e. Participate in onboarding new Team Members and General Laborers to improve performance. 

f. In addition to supervision responsibilities, perform the duties of a General Laborer. 

2. Perform maintenance and upkeep of equipment and facilities.                                        

a. Manage situational awareness, use appropriate PPE, and operate equipment safely. 

b. Ensure the handling/storage of fuels, chemicals, and hazardous materials per MSDS.

c. Follow maintenance and cleaning protocols for vehicles and equipment, per schedule. 

d. Manage facility assets–equipment, tools, grave dressings, etc. 

e. Monitor and maintain inventory of products and supplies. 

f. Complete cemetery grounds upkeep, including landscaping, trimming, etc. 

3. Foster a productive and safe work environment for the General Laborers.                      

a. Oversee work performed and coach General Laborers on procedures and safe practices. 

b. Conduct Team/Safety Meetings–listen, inform, and act on issues or concerns. 

c. Conduct training on topics relevant to operations, family service, and administration. 

d. Provide feedback and recommend developmental training as needed. 

4. Perform duties with a Family First Focus, service-oriented, and professional mindset.   

a. Maintain cleanliness and appearance of public areas– entrances, restrooms, chapel.

b. Communicate effectively with families, other General Laborers, location staff, and management. 

c. Assist families on cemetery grounds or direct them to the appropriate person for help. 

d. Watch out for the safety of families and guests whenever they are on cemetery property.

e. Follow and check on the proper service protocols for committal services. 

f. Complete a variety of tasks for the committal service using safe practices. 

g. Set foundations and install headstones, memorials, and markers as directed. 

5. Complete administration and other duties assigned.                                                      

a. Participate in Daily Morning Meetings, review caseloads, address resource needs. 

b. Respond to and assign General Laborers to complete service order requests in a timely manner. 

c. Maintain equipment maintenance, repair, and certification logs. 

d. Perform all tasks according to federal and state laws/regulations and Archdiocese procedures. 

e. Participate in Archdiocese location, classroom, and online training, and self-directed learning. 

B. Skills, Knowledge and/or Abilities (SKA’s)

1. Knowledge of the Catholic faith, rituals, and traditions. 

2. Understanding the Order of Christian Funerals. 

3. Able to conduct oneself with professionalism, courtesy, and respect through a “Family First” approach. 

4. Ability to assign work, provide constructive and respectful feedback and coaching, and ensure a safe and productive work environment for a diverse team. 

5. Ability to interact with diverse colleagues and publics in a positive, good-natured, cooperative manner.

6. Knowledge and skill to read, interpret, and follow safe practices, personal protective equipment requirements,  equipment safeguards, and to respond appropriately to hazards. 

7. Highly organized and ability to perform work with attention to detail. 

8. Strong time management and organizational skills, and ability to create and maintain records and files.

9. Ability to effectively communicate in writing and verbally.

10. Able to perform equipment maintenance, troubleshooting, and repairs. 

11. Knowledge of and ability to interpret and follow federal and state laws/regulations applicable to the burial of human and cremated remains. 

12. Proficient in the use of computers, software, and technology 

C. Education, Training and/or Experience

1. High School diploma or equivalent required. 

2. College degree preferred, and/or 3-4 years working as a ground keeper or landscaper, preferably in a cemetery. 

3. 2-3 operating heavy equipment and using power and hand tools required.

4. 1-2 years of supervisory experience or experience training and coaching others.

5. Valid state issued driver’s license, good driving record, and proof of insurance is required.

6. Bilingual (Spanish) preferred.  

V. Working Environment

1. Lift or carry objects weighing between 50-100 lbs.

2. Push or pull up to 300 lbs. with a wheeled cart.

3. Work outdoors in all types of weather conditions.

 

 

 

Position Title: Family Service Advisor 

Regular Full Time    Exempt   40  Hours per week

Department: Cemetery

II. Primary Functions of This Position

Family Service Advisors serve families with care and compassion, while educating and guiding them through the process of making informed decisions for Cemetery Advanced Planning, At-Need Cemetery, and Memorialization products and services.

Family Service Advisors will demonstrate by example, Archdiocese’ Core Values in all their dealings with families, staff, and internal/external contacts.

Reporting to the Location Manager, Family Service Advisors interact with families, Family Service Directors, and other personnel/departments.

Major Position Responsibilities                                                                                       

1. Facilitate Family Service At-Need Arrangements                                                                                                                                          

a. Meet with families and follow Archdiocese standards for At-Need Cemetery processes and procedures.

b. Educate families on the At-Need Cemetery process and burial options and guide them in making informed decisions for selecting a cemetery property.

c. Educate families on the Advanced Planning process and guide them in selecting a cemetery property and services.

d. Educate families on the Order of Christian Funerals, Mission Programs, products, services, and the benefits of Advanced Planning, as appropriate.

e. Perform needs assessment to identify the families’ wants, needs, and preferences.

f. Tour the cemetery, show the properties, and introduce options for a Family Legacy/Estate

g. Follow the process for completing a contract–write-up to finalize with signatures/payments.

h. Communicate and coordinate with other personnel, as needed.

i. Share the journey with families by being present at the committal service.

j. Be proactive and respectfully ask for referrals.

k. Follow through the Aftercare process.

l. Meet or exceed expectations for lead generation, appointment setting, follow-up, and Advanced Planning revenue targets.

2. Complete advanced planning tasks to achieve $56,000 preneed revenue target.          

a. Enter all leads into the CRM system and keeping current with scheduling of activities & communications.

b. Focus on setting 2 pre-need appointments per day.

c. Meet with a minimum of 20 pre-need appointments per month.

d. Follow advanced planning processes and present “Complete Packages” to families.

e. Follow the referral process and arrange a minimum of 5 referrals per month.

f. Attend and participate in community networking & outreach events.

g. Maintain a minimum of 1.5:1 pre-need to at-need ratio.

3. Manage the memorialization process with the Memorialization Coordinator to ensure accurate and timely installation meeting the family’s needs.                                               

a. Educate families through the memorialization design process.

b. Prepare administrative and design documentation for handoff to the Memorialization Coordinator.

c. Coordinate with Memorialization Coordinator to procure the memorialization from the vendor.

d. Request memorialization proof, review with family, and prepare the contract.

e. Coordinate with Memorialization Coordinator to obtain and track the memorialization.

f. Upon inspection and approval of the memorialization, make a request for installation.

4. Participate in and leverage outreach and community events to cultivate fruitful relationships.  

 a. Participate in parish outreach and community events that provide education on the Order of Christian Funerals, Mission Programs, services, and the benefits of Advanced Planning 

b. Follow the process for parish outreach and/or community events as directed by the Outreach Manager.

c. Be proactive in advocating for, and collaborating on, parish outreach and community events.

d. Manage the leads and referrals process–receive leads/referrals, contact the person or family in a timely manner, schedule appointments, update the CRM.

e. Follow-up on leads/referral tasks–leave reminders for scheduled appointments, respond to missed appointments, update the CRM.

f. Follow-through with families with whom you have previously served and respectfully ask for referrals.

5. Administration Responsibilities                                                                                                

a. Perform administrative duties applicable to At-Need, Advanced Planning, Memorialization, and Outreach activities.

b. Follow Archdiocese policies, processes, and procedures, and Church directives.

c. Follow federal and state laws/regulations applicable to the tasks performed.

d. Follow the contract process and comply with all contractual requirements.

e. Prepare documentation accurately, completely, and in a timely manner.

f. Effectively use cemetery software, CRM, and other software applications to perform a variety of administrative duties

g. Process payments according to procedures and submit in a timely manner.

h. Use effective communication skills when speaking with families, coordinating with the outreach team, contacting leads/referrals, conducting presentations, and/or conversing with other internal staff and departments.

i. Generate reports and provide status updates as requested by management.

j. Perform other administrative and reporting tasks as directed by the Location Manager

k. Use job aids and checklists to increase productivity, time efficiency, and effectiveness.

l. Take ownership and responsibility for professional development through Archdiocese location, classroom, and online training, and self-directed learning.

B. Skills, Knowledge and/or Abilities (SKA’s)

1. Knowledge of the Catholic faith and traditions, including the Order of Christian Funerals.

2. Professional verbal and written communication skills, include active listening and use of business English and grammar.

3. Strong interpersonal and customer service skills and ability to build productive, collaborative relationships with people of different cultures, theological, and socioeconomic backgrounds.

4. Ability to maintain confidentiality regarding financial records, meetings, and conversations.

5. Excellent time management, prioritization, and organizational skills, and ability to meet deadlines.

6. Knowledge of processes, principles, and methods for selling products and services.

7. Record of accomplishment in networking, developing leads, contacting referrals, setting appointments, and meeting monthly sales goals.

8. Excellent interpersonal and communication skills, both in person and on the telephone.

9. Highly organized, detail oriented, and excellent time management skills.

10. Ability to work and make decisions under pressure and tight deadlines while maintaining a calm demeaner.

11. Proficient in the use of Microsoft Suite, computers, and sales data and information applications.

12. Ability to work independently as well as part of a team.

13. Ability to make decisions, work with minimal supervision, anticipate problems, and demonstrate a high degree of initiative.

C. Education, Training and/or Experience

1. High School diploma or equivalent required.  Bachelor’s degree preferred.

2. Minimum 2 years of sales or customer service experience required; face-to-face sales environment preferred.

3. Bilingual Spanish preferred.  

4. Practicing Catholic strongly preferred.

V. Working Environment

1. The employee in this position works in a normal office environment on location at the cemetery site.  Indoor and outdoor tasks are required in various types of weather and conditions.

2. A valid driver’s license is required and local travel within the Archdiocese Cemeteries may occasionally be necessary. Valid state issued driver’s license, good driving record, and proof of insurance is required.

3. Attendance at occasional evening or weekend events. 

4. Occasional work on weekends.

5. Some lifting up to 35 pounds
